The new dispatching software reduces the workload for dispatchers and speeds up their work. It automatically generates the optimal route plans for all delivery vehicles at a branch. In doing so, it takes into account specified factors such as goods acceptance times or express deliveries with fixed delivery commitments by a certain time. Dispatchers can adjust the software’s proposals manually if required. Günther: “Using the dispatching software, planning is faster, less dependent on the individual experience of staff, and more efficient in overall terms.”

At the same time, TMA has created the necessary conditions with this system for recipients to receive detailed advanced notification including the expected delivery timeslot of their consignment. “We have delivered,” explains Günther. “Now all the consignors have to do is simply book the service, transmit the recipient data and obtain the recipients’ consent.”

The new self-check-in module, which has also been introduced, and the associated streamlined processes enable delivery drivers to start their routes more quickly than was previously the case. This is because, once their vehicles have been loaded, they can complete the check-in and route checks directly in the transhipment hall. To do this, they go to a computer terminal in the hall and there they scan the relevant QR code for their route. The system then digitally compares the loaded consignments with those assigned to the route within seconds and automatically prints the required accompanying documents. The need to visit the dispatch office is eliminated, reducing waiting times and allowing drivers to begin their routes earlier. This increases the available time for actual deliveries.

The same technical solutions have also been introduced by trans-o-flex Express, TMA’s German sister company. “By harmonising IT solutions with the already established processes at trans-o-flex Express in Germany, a consistent level of quality is created,” Günther continues. “At the same time, development and maintenance costs for the software are reduced and staff deployment becomes more flexible in the event of absences.”

An energy management system according to ISO 50001 consists of five core elements. To begin with, the company develops and documents its energy policy. In doing so, the company is committed to its strategy for efficient energy use. The current status at the start of the process is established by recording and analysing the energy flows and consumption. At the same time, this analysis can reveal potential energy savings. In addition, specific goals in terms of the energy efficiency and energy consumption can be developed and recorded. Following this development and implementation of action plans commences in order to successively achieve the energy goals. Ultimately the key concern involves regularly inspecting what has been attained and where necessary to adapt certain individual steps and to implement new ideas. This continuous improvement process within a PDCA cycle (Plan-Do-Check-Act) forms the systematic core of every ISO certification.

"ISO 50001 fits seamlessly within our integrated management system because our employees are already familiar with the structure and processes from other ISO certifications.” The BSI Group was chosen as the certifier, as it was for ISO 9001 and ISO 14001. The certificates, like those for the other management systems at trans-o-flex – such as the pharmaceutical logistics certification in accordance with EU GDP or the security certifications according to TAPA standards – are available at any time on the company website in the Downloads section. 

As one of the first steps in the operational rollout of the management system, all branch managers completed training in energy-efficient operations and behaviour. The largest consumers at each location were also identified. It emerged here that at an average trans-o-flex site around 70 per cent of total energy demand is required for the provision of heating. “We will therefore place particular emphasis on upgrading and controlling the heating systems,” explains Reder. “Measures in this area always affect both costs and the carbon footprint, so we therefore have a double saving effect.”

Ein Energiemanagement-System nach ISO 50001 hat fünf Kernbestandteile. Zuerst entwickelt und dokumentiert das Unternehmen seine Energiepolitik. Dabei bekennt sich das Unternehmen zu seiner Strategie für den effizienten Energieeinsatz. Mit einer Erfassung und Auswertung der Energieflüsse und des Energieverbrauchs wird sodann der Ist-Stand zu Beginn des Prozesses festgehalten. Gleichzeitig kann schon dadurch Potenzial für Energieeinsparungen gefunden werden. Darüber hinaus können konkrete Ziele hinsichtlich Energieeffizienz und -verbrauch entwickelt und festgehalten werden. Danach beginnt die Entwicklung und Umsetzung von Aktionsplänen, um die Energieziele nach und nach zu erreichen. Schließlich gilt es, das Erreichte regelmäßig zu überprüfen, gegebenenfalls einzelne Schritte anzupassen und neue Ideen umzusetzen. Dieser kontinuierliche Verbesserungsprozess im Rahmen eines PDCA-Zyklus (Plan-Do-Check-Act) ist systematischer Kern jeder ISO-Zertifizierung.

„Die ISO 50001 fügt sich nahtlos in unser integriertes Managementsystem ein, weil die Struktur und Prozesse unseren Mitarbeitern schon von anderen ISO-Zertifizierungen bekannt sind.“ Mit der BSI Group wurde auch derselbe Zertifizierer gewählt wie bei ISO 9001 und ISO 14001. Die Zertifikate stehen wie die der anderen Managementsysteme von trans-o-flex – etwa die Pharmalogistik-Zertifizierung nach den EU-GDP oder die Sicherheitszertifizierungen nach TAPA-Standards – jederzeit auf der Webseite des Unternehmens im Bereich Downloads bereit. 

Als einer der ersten Schritte im Rahmen der operativen Einführung des Managementsystems haben alle Niederlassungsleiter eine Schulung zu energiesparendem Betrieb und Verhalten absolviert. Weiterhin wurden die größten Verbraucher je Standort identifiziert. Dabei hat sich herausgestellt, dass an einem durchschnittlichen trans-o-flex-Standort rund 70 Prozent des gesamten Energiebedarfs für die Wärmebereitstellung benötigt wird. „Wir werden also einen besonderen Fokus auf die Erneuerung und Steuerung der Heizungen legen“, erläutert Reder. „Maßnahmen in diesem Bereich wirken sich immer sowohl auf die Kosten als auch auf die CO2-Bilanz aus, wir haben hier also einen doppelten Einspareffekt.“

trans-o-flex had its quality management system certified for the first time in 1995. Certification in accordance with ISO 14001 followed in August 2010, with the first GDP certification achieved later the same year. “Certifications are an indispensable part of our quality strategy,” Reder continues. “They enable us to continuously improve our processes and document our quality externally.”

The ISO 9001 standard specifies requirements that companies must meet to consistently provide high-quality products and services and satisfy their customers. ISO 14001 aims to minimise a company’s negative environmental impacts and promote their sustainable development. The certification body BSI Group audited all trans-o-flex companies over almost two months to verify their compliance with both standards. GDP certification was performed by the certification body TÜV Süd. All new certificates are available on the company’s website.

In addition: TAPA certification for greater security

Alongside GDP, quality and environmental management, trans-o-flex has also been certified in accordance with the TAPA FSR C 2023 security standards at two further network locations. This means that six locations have already been newly certified according to the strict TAPA standards this year.

Background: In order to prevent costly losses due to damage, theft or other criminal attacks on valuable freight, the shippers’ association Transported Asset Protection Association (TAPA) developed the particularly demanding FSR security standard for the handling of high-risk consignments. FSR stands for Facility Security Requirements and also covers, for instance, the video surveillance of distribution hubs. “By means of the TAPA FSR certification, we are increasing the security of our freight and reducing insurance costs.” Precisely because sensitive goods are part of trans-o-flex’s core business, Martin Reder believes “the security of our goods along the supply chain makes a significant contribution towards our business success.”

This year, TAPA FSR C 2023 certification has also been planned for our Bruchsal, Hanover and Koblenz sites. In total, trans-o-flex will then have TAPA certification for all four locations in Austria and 23 locations in Germany.

Die Norm ISO 9001 legt Anforderungen fest, mit denen Unternehmen sicherstellen, dass sie qualitativ hochwertige Produkte und Dienstleistungen erbringen und ihre Kunden zufriedenstellen können. Ziel der ISO 14001 ist es, negative Umweltauswirkungen eines Unternehmens zu minimieren und seine nachhaltige Entwicklung zu fördern. Das Zertifizierungsunternehmen BSI Group hat die trans-o-flex-Gesellschaften fast zwei Monate lang auf die Einhaltung beider Normen geprüft. Die Zertifizierung nach GDP erfolgte durch die Sachverständigenorganisaation TÜV Süd. Alle neuen Zertifikate sind auf der Webseite des Unternehmens abrufbar.

Zusätzlich: TAPA-Zertifizierung für mehr Sicherheit

Neben GDP, Qualitäts- und Umweltmanagement hat trans-o-flex für zwei weitere Netzwerkstandorte auch die Zertifizierung nach den Sicherheitsstandards TAPA FSR C 2023 erreicht. Damit wurden in diesem Jahr bereits sechs Standorte neu nach den strengen TAPA-Standards zertifiziert.

Hintergrund: Um kostspielige Verluste durch Beschädigen sowie durch Diebstahl und andere kriminelle Übergriffe auf wertvolle Fracht zu vermeiden, hat der Verladerverband Transported Asset Protection Association (TAPA) den als besonders anspruchsvoll geltenden Sicherheitsstandard FSR für den Umgang mit besonders gefährdeten Transportgütern entwickelt. FSR steht für Facility Security Requirements und sieht beispielsweise auch die Videoüberwachung von Umschlagzentren vor. „Mit der TAPA-FSR-Zertifizierung erhöhen wir die Sicherheit unserer Frachten und senken Versicherungskosten.“ Gerade weil sensible Güter zum Kernbereich von trans-o-flex gehören, trägt laut Martin Reder „die Sicherheit der Waren entlang der Lieferkette maßgeblich zu unserem unternehmerischen Erfolg bei“.

In diesem Jahr ist die Zertifizierung nach TAPA FSR C 2023 auch noch an den Standorten in Bruchsal, Hannover und Koblenz geplant. Insgesamt wird trans-o-flex dann alle vier Standorte in Österreich TAPA-zertifiziert haben sowie 23 Standorte in Deutschland.

• A multimodal approach: a team of specialists does not restrict itself to road transport

A patient in São Paulo needs a pacemaker that isn’t available in Brazil. The life-saving medical device is in stock in the town of Tuttlingen in Baden-Württemberg. Can it arrive in São Paulo in time for the operation? “Whenever one of our customers suddenly has a consignment that is extremely urgent, sensitive or important, or that requires special handling, then it’s a job for our Special Services team,” says trans-o-flex CEO Martin Reder. That’s why the company has created a new business division, which the express logistics provider is presenting for the first time at the transport logistic trade fair in Munich.

Reder views the development of our Special Services division as a strong signal: “We are there for our customers especially when they need us most.” The Special Services team draws on a range of service options that can be combined to meet the customer’s specific needs. “A classic example of this is the direct courier run,” explains Reder. “Depending on the size of the consignment or its specific requirements, such as temperature control, we organise a driver with the appropriate vehicle who collects the goods within 90 to 120 minutes of order confirmation and drives straight to the destination.”

However, the service is not limited to road transport. “We utilise tools such as OBC, Next Flight Out or Air Charter.” An Onboard Courier (OBC) is, for instance, well suited for the delivery of a pacemaker from Germany directly to the operation in a hospital in São Paulo. “First a courier run from the manufacturer to Frankfurt Airport. There, the driver hands over the pacemaker to the OBC, for whom we have booked a ticket on a direct flight to São Paulo. The OBC usually travels with hand luggage only, avoiding the time-consuming checking in of baggage and at the destination airport they do not have to wait for the luggage to be unloaded. Instead, following the passport control and customs clearance they can immediately catch a taxi, drive to the hospital and personally hand the pacemaker over to an authorised person.”

If a personal accompaniment of the consignment is not necessary for security or speed reasons, the Next Flight Out (NFO) service may also be an option. In this case the goods travel in the hold of the next available scheduled flight operating on the desired route. Due to strict regulations regarding size, weight or packaging – or simply because no scheduled flights are available within the required time frame –an Air Charter is often the only option instead of NFO.

More than just transport: Delivering, setting up and stocking promotional displays

Special services also includes White Glove Solutions. “It is more about ensuring that the goods are not only transported but instead handled in a particular way”, states Reder. “For instance, this is evident in the assembly and stocking of promotional displays in pharmacies.” Specially trained drivers deliver the displays to pharmacies, set them up, stock them with the goods they have also brought, collect all the packaging materials afterwards, and as a final step take photos of the completed display for documentation purposes. The same applies to the shelf-restocking service. Here too, goods are not just delivered – they may also need to be placed directly on the shelves.

When a drug patent expires

A further special feature is the provision of bespoke logistics solutions when patents expire. “Although this can be planned, it is extremely time-critical,” explains Reder. This is because when a drug’s patent protection expires, the generic drug that reaches pharmacies first often generates the most sales. “It is frequently supported by major marketing campaigns. The logistics must therefore take place flawlessly.” The challenge in achieving this is that while the generic drug may not be stocked in Germany the day before the patent protection expires, it should be available everywhere the day after. This is why the Special Services team organises a precisely timed distribution solution in these cases. “The most important elements are that we warehouse the generics at one or more sites abroad where the patent has already expired. There, vehicles are pre-loaded on the day before launch (Day –1). At midnight on the first day of the patent’s expiry, these pre-loaded vehicles cross the German border and proceed to various trans-o-flex transshipment centres. From there, the products reach any location in Germany within the specified time window.”

Ein Patient in São Paulo braucht einen Herzschrittmacher, den es in Brasilien nicht gibt. Im württembergischen Tuttlingen wäre das lebensrettende Medizinprodukt verfügbar. Kann es rechtzeitig zur Operation in São Paulo sein? „Immer wenn einer unserer Kunden plötzlich eine Sendung hat, die extrem eilig, sensibel oder wichtig ist oder die eine besondere Behandlung braucht, dann ist das ein Fall für Special Services“, sagt trans-o-flex-CEO Martin Reder. Deshalb hat das Unternehmen einen neuen Geschäftsbereich aufgebaut, den der Expressdienst auf der Fachmesse transport logistic in München erstmals vorstellt.

Im Aufbau des Bereichs Special Services sieht Reder ein wichtiges Signal: „Wir sind auch und gerade dann für unsere Kunden da, wenn sie uns am nötigsten brauchen.“ Dafür greift das Team Special Services auf verschiedene Servicevarianten zurück, die je nach Kundenbedarf kombiniert werden. „Klassisch ist die direkte Kurierfahrt“, erläutert Reder. „Entsprechend der Größe der Sendung oder ihrer speziellen Anforderungen, etwa an die Temperierung, organisieren wir einen Fahrer mit dem passenden Fahrzeug, der die Ware innerhalb von 90 bis 120 Minuten nach Auftragsbestätigung abholt und direkt zum Ziel fährt.“

Doch der Service ist nicht auf Straßentransporte beschränkt. „Wir nutzen Tools wie OBC, Next Flight Out oder Air Charter.“ Ein Onboard Courier (OBC) sei beispielsweise geeignet, um einen Herzschrittmacher aus Deutschland direkt zur Operation in ein Krankenhaus in São Paulo zu bringen. „Erst eine Kurierfahrt vom Hersteller zum Frankfurter Flughafen. Dort übergibt der Fahrer den Herzschrittmacher an den OBC, dem wir ein Ticket im Direktflug nach São Paulo gebucht haben. Der OBC reist in der Regel nur mit Handgepäck und spart sich so die zeitraubende Gepäckaufgabe. Und am Zielflughafen braucht der OBC nicht auf die Gepäckentladung zu warten, sondern kann sich nach der Passkontrolle und der Warenverzollung sofort in ein Taxi setzen, zum Krankenhaus fahren und den Herzschrittmacher dort persönlich an eine berechtigte Person übergeben.“

Ist eine persönliche Begleitung der Sendung aus Sicherheits- oder Schnelligkeitsgründen nicht notwendig, kann ein Next Flight Out Service (NFO) in Frage kommen. Dabei reist die Ware im Gepäckraum des nächsten verfügbaren Linienflugzeugs, das auf der gewünschten Route verkehrt. Weil dabei strikte Vorschriften hinsichtlich Größe, Gewicht oder Verpackung gelten oder schlicht kein Linienflieger im zur Verfügung stehenden Zeitfenster buchbar ist, kommt statt des NFO oftmals nur ein Air Charter in Frage.

Mehr als nur transportieren: Verkaufsdisplays liefern, aufbauen, befüllen

Zu Special Services gehören auch White Glove Solutions. „Dabei geht es darum, dass die Ware nicht nur transportiert, sondern in einer bestimmten Art und Weise behandelt wird“, so Reder. „Ein Beispiel hierfür ist etwa Aufbau und Bestückung von Verkaufsdisplays in Apotheken.“ Speziell geschulte Fahrer bringen dabei die Displays in die Apotheken, bauen sie auf, befüllen sie mit der Ware, die sie ebenfalls mitgebracht haben, nehmen das gesamte Verpackungsmaterial wieder mit und machen zum Abschluss zur Dokumentation noch Fotos vom fertigen Display. Ähnliches gilt für den Regal-Service. Auch dort müssen die Waren nicht nur geliefert, sondern beispielsweise gleich in die Regale eingeräumt werden.

Wenn das Patent eines Arzneimittels ausläuft

Eine weitere Besonderheit sind maßgeschneiderte Logistiklösungen bei Patentausläufen. „Das ist zwar planbar, aber extrem zeitkritisch“, weiß Reder. Denn wenn der Patentschutz eines Medikaments ausläuft, macht oft dasjenige Generikum den größten Umsatz, das am schnellsten in den Apotheken verfügbar ist. „Oftmals wird das mit großen Werbekampagnen unterstützt. Da muss die Logistik 100-prozentig passen.“ Die Herausforderung dabei: Während das Generikum noch am Tag vor dem Auslauf des Patentschutzes nicht in Deutschland gelagert werden darf, soll es einen Tag später bereits überall erhältlich sein. Deshalb organisiert Special Services in solchen Fällen eine exakt getaktete Distributionslösung. „Die wichtigsten Elemente sind, dass wir die Generika an einem oder mehreren Standorten im Ausland, wo kein Patentschutz mehr besteht, zwischenlagern. Dort werden dann Fahrzeuge am Tag minus 1 vorgepackt. Und um null Uhr am ersten Tag des Patentauslaufs überqueren diese vorgepackten Fahrzeuge die deutsche Grenze und steuern verschiedene trans-o-flex-Umschlagstandorte an. Von dort erreicht die Ware im gewünschten Zeitfenster jeden Ort in Deutschland.“

Express courier trans-o-flex, which specialises in the transportation of pharmaceuticals and other sensitive goods such as cosmetics and electronics, has opened a joint facility in Bavaria for its two German distribution networks, trans-o-flex Express and trans-o-flex ThermoMed. It is located in Steinach, directly on the A3 motorway between Regensburg and Deggendorf. Until now, the region was served by separate handling centres for actively temperature-controlled goods in the Express network (15–25 degrees Celsius) and for chilled goods in the ThermoMed network (2–8 degrees Celsius). “This new facility not only increases our capacity, but also creates further synergies between our two networks,” said trans-o-flex CEO Martin Reder at the official opening. From Steinach, trans-o-flex delivers goods between Regensburg and Passau as well as from Landshut right up to the Austrian and Czech borders. The consignments are sorted on an automatic conveyor system that is capable of processing up to 4,500 parcels per hour. Each parcel may weigh up to 50 kg, measure 1.50 m in length, 70 cm in width and 80 cm in height. The sorting system features a calibrated scale that automatically records the weight and volume of every package. The handling centre offers 29 gates for HGVs and 79 gates for vans for loading and unloading. The new site will create around 100 jobs in the region.

“One key difference to conventional sorting centres is the sustainability of the facility,” explained Reder. “Solar panels will be installed on the roof and we will use the electricity they generate in the centre itself, to operate the heat pump for the heating or supply it to the charging points for our employees’ electric cars.” Connections are being prepared for the future charging of e-trucks and e-transporters. “The sorting centre offers high levels of thermal insulation due to its active temperature control system, LED lights provide plenty of light without much electricity and all the rain that falls on the roofs and sealed surfaces of the site is collected and channelled into the drainage system in a controlled manner.” Last but not least, noise barriers that will be completely greened will be erected around the site. The centre is operated in combination with a free cooling system to minimise the use of its energy-intensive air conditioning system. The air conditioning system only has to be put into operation once the desired temperature in the centre can no longer be achieved by means of air circulation through the supply air grilles and exhaust air fans. In this way, the temperature control required for the safety of the sensitive goods being transported is guaranteed at all times, combined with minimised levels of energy consumption.

A technical feature designed to ensure efficient and reliable sorting in daily operation concerns the sorting system itself: it is divided into three independent sections, each serving around 30 loading stations. “This makes the overall facility fail-safe,” says Reder. “If one sorter is out of service, the other two sections can continue operating while repairs are carried out.”

Der auf Arzneimittel und andere sensible Güter wie Kosmetik oder Elektronik spezialisierte Expressdienst trans-o-flex hat in Bayern einen gemeinsamen Standort für seine beiden deutschen Distributionsnetze trans-o-flex Express und trans-o-flex ThermoMed in Betrieb genommen. Er liegt in Steinach, direkt an der A3 zwischen Regensburg und Deggendorf. Bisher gab es in der Region separate Umschlagzentren für aktiv temperaturgeführte Waren im Express-Netz (15 bis 25 Grad) und für Kühlware im ThermoMed-Netz (2 bis 8 Grad Celsius). „Dadurch erhöht der neue Standort nicht nur unsere Kapazität, sondern wir schaffen weitere Synergien zwischen unseren beiden Netzen“, sagte trans-o-flex-CEO Martin Reder bei der offiziellen Inbetriebnahme. Von Steinach aus stellt trans-o-flex ab sofort zwischen Regensburg und Passau sowie von Landshut bis an die Grenzen nach Österreich und Tschechien Waren zu. Die Sendungen werden auf einer automatischen Bandanlage sortiert, die für bis zu 4.500 Pakete pro Stunde ausgelegt ist. Ein Paket kann dabei bis zu 50 Kilo schwer sein, 1,50 Meter lang, 70 Zentimeter breit und 80 Zentimeter hoch. Die Sortieranlage verfügt über eine geeichte Waage und misst automatisch das Gewicht und das Volumen jedes Packstücks. Die Umschlaghalle verfügt für die Be- oder Entladung über 29 Tore für Lkw und 79 Tore für Transporter. Der Standort sorgt in der Region für rund 100 Arbeitsplätze.

„Ein wesentlicher Unterschied zu herkömmlichen Sortierzentren ist die Nachhaltigkeit der Anlage“, erläuterte Reder. „Auf dem Dach sind Solarmodule installiert und den davon produzierten Strom nutzen wir in der Halle selbst, betreiben die Wärmepumpe für die Heizung oder geben ihn an Ladesäulen für die E-Pkw unserer Mitarbeiter ab.“ Für die künftige Ladung von E-Lkw und E-Transportern werden Anschlüsse vorbereitet. „Das Sortierzentrum verfügt wegen seiner aktiven Temperierung über eine starke Wärmedämmung, LED-Leuchten sorgen mit wenig Strom für viel Licht und der gesamte Regen, der auf Dächer und versiegelte Flächen des Grundstücks fällt, wird aufgefangen und kontrolliert der Versickerung zugeführt.“ Nicht zuletzt wurden um das Grundstück herum Lärmschutzwände aufgestellt, die vollständig begrünt werden. Damit die Klimaanlage der Halle so wenig wie möglich eingesetzt werden muss, wird sie in Kombination mit einer freien Kühlung betrieben. Erst wenn die gewünschte Temperatur in der Halle über eine Luftzirkulation durch Zuluftgitter und Abluftventilatoren nicht mehr erreicht werden kann, muss die Klimaanlage anlaufen. So wird auch bei minimiertem Energieeinsatz die zur Sicherheit der transportierten sensiblen Güter notwendige Temperierung jederzeit gewährleistet.

Eine technische Besonderheit, die im Alltag für eine effiziente und verlässliche Sortierung sorgen soll, betrifft die Sortieranlage: Sie besteht aus drei voneinander unabhängigen Teilen. Jeder Teil steuert rund 30 Verladeplätze an. „Das macht das Gesamtsystem ausfallsicher“, sagt Reder. „Ist ein Sorter beschädigt, können die anderen beiden Teile weitergenutzt werden, während der eine repariert wird.“
