More Than a Lockable Compartment
A Smart Locker is a digitally controlled locker system designed for the secure distribution, return and temporary storage of items. Authorised users can open their assigned compartment using a PIN, QR code, NFC chip, employee ID card or smartphone.
Unlike a conventional locker, the COSYS Smart Locker solution records every process digitally. Companies can see which compartments are occupied, who has collected an item and which returns remain outstanding. Automatic compartment reservations, notifications and digital proof of handover turn a storage location into a controlled part of the operational workflow.
Clear Signs That Automated Handovers Make Sense
A Smart Locker is particularly worthwhile when recurring handovers consume a significant amount of working time. Typical indicators include long internal walking routes, repeated notifications, unsuccessful delivery attempts, overcrowded distribution areas or items that regularly have to be located.
Shift work, working from home, desk sharing, multiple buildings and changing workplaces can increase the value even further. Distribution staff and recipients are often not present at the same time. Even a manageable number of handovers can justify a system if every individual transaction creates waiting times, walking routes or extensive documentation. Therefore, no universal minimum number of handovers is required.
One System for Different Applications
The most important application within companies is internal mail and parcel distribution. Incoming shipments are recorded, assigned to a recipient and stored securely. Following an automatic notification, the parcel can be collected without requiring a member of the mailroom team to be present.
COSYS also supports further distribution and return processes:
- IT equipment: Laptops, tablets, smartphones, mobile computers, scanners and accessories can be clearly assigned to individual employees. Electrified compartments can charge suitable devices while they are stored, preparing them for their next use.
- New Work models: With remote working and flexible workplaces, the compartments serve as personal handover or storage points.
- PPE distribution: Gloves, safety glasses, hearing protection and safety helmets can be provided in a controlled manner, independently of working shifts.
- Click & Collect: Pre-ordered goods are made available for independent collection within a defined period.
- Tool and materials distribution: Tools, measuring equipment, spare parts and consumables are assigned to authorised users. For items that must be returned, the system also documents their return.
One system can support several of these processes simultaneously, provided that user groups, permissions and transactions are clearly separated. Alternatively, multiple Smart Lockers can be positioned strategically across different departments, buildings or sites.
Cost-Effectiveness Starts with the Existing Workload
For a sound assessment, companies should first record the number of handovers, processing times, walking routes, enquiries, search times and losses. The following calculation provides an initial point of reference:
Handovers per month × time required per handover × internal labour costs
Potential savings from fewer losses, shorter storage times and faster access to essential work equipment should also be considered. These benefits must then be weighed against the acquisition, software, integration, maintenance and operating costs.
Where handovers are infrequent and irregular, with little demand on staff time, a conventional process may remain more cost-effective. Unsuitable dimensions, excessive weight or specific security requirements may also make locker-based handover impractical.
Define the Process Before Choosing the Hardware
Without suitable software, manual work is often simply shifted elsewhere. COSYS connects item storage, notifications, access control, collection and returns within one continuous system. Interfaces with ERP systems, inventory management systems, IT systems and HR systems support integration into existing infrastructures. Cloud and on-premises operation, different compartment sizes and modularly expandable systems enable implementation based on actual requirements.
Together with COSYS, companies can determine which locations, compartment sizes, access methods and processes meet their specific needs. An individual consultation or system demonstration shows how the solution can be integrated into existing workflows.
Conclusion
A Smart Locker is worthwhile when face-to-face handovers regularly consume time, flexible collection is required or reliable documentation is missing. The solution becomes particularly cost-effective when it automates several recurring processes and is connected to suitable software.
Tip:
Handover volumes should be recorded over several weeks before a system is purchased. This reveals whether one installation is sufficient or whether different areas of the company require separate Smart Lockers.
